What is Match AI?

Overview

Our objective for Match AI is to make the process of connecting clients with the perfect venue faster and easier than ever before.

We do this by engaging with the client in a chat style experience, automatically matching them with venues based on their event brief, and sending enquiries to recommended venues on behalf of the client.

Client Experience

The Match experience for clients begins with Vera - our AI venue finding agent who collects the client's event brief. Vera is available across multiple channels on VenueNow, including our homepage, landing pages, search experience and "Lite" listings.

Event and Contact Details Collected:

  • Location

  • Event type

  • Number of people

  • Layout

  • Event date & time

  • Total budget

  • First name

  • Last name

  • Email

  • Phone number (optional)

Once Vera has collected all of the required information, we use this information to automatically search and match the client with up to 9 venues that are the best fit for the brief.

The way in which we choose venues is based on two key factors:

  1. Relevance: How closely a venue matches the client's brief.

  2. Quality: How well the venue performs on VenueNow over time (ie. bookings, conversion rates etc).

Once matches are found, the client is then shown their recommendations and can choose venues to connect with immediately (ie. Listing enquiry). Other venues on the list will automatically receive a Match enquiry.

Shortly after this, an email is automatically sent to the client with their recommended venues, and a link to a "Wishlist" created on their account. This allows the client to come back to their list, view their recommended venues and track the status of their enquiries.

Venue Experience

The experience for venues is very similar to a "Listing" enquiry. You receive an email from the client's email alias with their event details. All you need to do is reply to the email to engage with the client. Alternatively, you can submit a quote via your Enquiry Dashboard.

Like Listing enquiries, you do not need to pay commission if a Match enquiry converts to a booking.

As with our search results, landing pages and listing enquiries, you will only be recommended and receive enquiries for event types that your spaces are tagged in.

The key difference between Match and Listing enquiry emails is that you don't receive the client's phone number for Match enquiries until after you've responded to the enquiry. At this point, the client's phone number is visible on your enquiry dashboard.

How to Differentiate Between Enquiry Types

To make it easy for you to differentiate between Match, Listing and Concierge enquires, we've created unique email subject lines for each enquiry type. Additionally, on your enquiry dashboard Match enquiries will have an "M" icon, Listing enquiries will have an "L" icon and Concierge enquiries have a "C" icon.

  • Match:

    • Email Subject line: VenueNow Match Enquiry

    • Email Sent from: Client email alias

    • Dashboard Icon: M

  • Listing:

    • Email Subject line: VenueNow Listing Enquiry

    • Email Sent from: Client email alias

    • Dashboard Icon: L

  • Concierge:

    • Email Subject line: Concierge Enquiry

    • Email Sent from: VenueNow Venue Consultant

    • Dashboard Icon: C

Minimum Match Enquiry Value (Premium Feature)

If you only want to receive Match enquiries above a certain value, you can choose to set a "Minimum Match Enquiry Value". For client briefs below this value, you will not be recommended, and therefore will not receive the Match enquiry.

Opting Out of Match Enquiries

If you would like to opt out of Match enquiries, please contact your account manager or email venue@venuenow.com and we will turn this feature off for you.

Tips for Converting Match Enquiries

Response time to Match enquiries is incredibly important as you will likely be competing against more venues compared to Listing enquiries. The faster you respond, the higher your chances of converting the booking.

Responses don't need to be a detailed proposal that you spend a long time creating, but should instead focus on the following key points:

  • Availability

    • Is your venue available for the client's preferred date & time?

      • If not, what other dates and times do you have available?

      • Clients are often flexible with dates and time so be sure to check if they are open to alternatives or have a strict event date/time.
  • Pricing

    • Provide a high level pricing overview, minimum spend and/or package costs.

  • Function Packs & Menus

    • We recommend attaching your function pack and/or menus to provide the client with more detailed pricing and information about your venue.

  • Site Visits and 3D Tours

    • Suggest a time for the client to come and visit the venue. This is often your best opportunity to convert the client to a booking.

    • If you have a 3D tour link, we suggest including this in your response.
