What kind of data or insights will I receive about customer enquiries and bookings?
To help you manage your events with ease, your enquiry dashboard serves as a central hub where all the vital details of your potential bookings are organised and accessible. Here is a breakdown of how to navigate and utilise your dashboard effectively.
At-a-Glance Enquiry Overview
The main dashboard view gives you the essential building blocks for every potential event so you can prioritize your day quickly. This includes:
-
Enquiry Status: See immediately where the lead stands (e.g., Pending, Responded).
-
Event Details: View the requested Date and Time, along with the Capacity (number of guests).
-
Client Information: See the Client Name & Company and exactly when the enquiry was Received.
-
Event Type: Quickly identify if it is a corporate meeting, wedding, or social gathering.
Deep-Dive: The "Show Details" View
When you need a fuller picture of a client’s vision, clicking "Show Details" reveals an expanded list of information tailored to that specific request:
-
Space & Layout: See exactly which of your venue’s spaces they enquired about and their preferred room setup.
-
Direct Contact Info: Access the client’s name, their unique alias email, and phone number.
-
Company Insights: View any additional background data our platform has gathered about the enquiring organization.
Finding and Filtering Your Enquiries
To help you stay organized, the dashboard provides several ways to customize your view. You can use the Search Bar to find specific clients or events, or use the Filter options to sort by Listing, Enquiry Status, or Enquiry Type.
For a more focused workflow, you can Toggle your view between:
-
Enquiries to Update: Highlights only the bookings that require your immediate attention or status changes.
-
View All Enquiries: Provides a complete historical list of every enquiry your venue has received.
Taking Action and Updating Status
Managing the journey of a booking is simple. Depending on the current stage of the conversation, the dashboard will suggest Further Action Items. Once a lead is finalized, you can update the status to Won or Lost to ensure your performance metrics and reporting remain accurate.
Managing Your Booking Status
Updating your booking status is the final step in keeping your dashboard accurate and your performance insights meaningful. Once a conversation concludes, you can mark the enquiry as Won or Lost to reflect the outcome:
-
When you win a booking: Select Won and enter the estimated spend for the event. This helps you track your venue's revenue trends and provides a valuable reference for your future reporting.
-
When a booking doesn't go ahead: Select Lost. A brief pop-up will appear asking for a reason—such as the client not responding, booking another venue, or the venue being unavailable.
Sharing these quick details helps ensure your dashboard reflects your hard work and provides you with the data needed to understand your booking patterns.
